Terms and Conditions

Thank you for considering Edit Island for your proofreading and copyediting project. These terms are intended to make the editing process clear from the outset and to ensure that we both know what to expect.

Services

Edit Island provides professional proofreading and copyediting services for authors, academic writers, and creative entrepreneurs. The scope of every project will be agreed upon before work begins and confirmed in your personalized editing proposal.

Unless otherwise agreed, editing is carried out electronically using Microsoft Word with Track Changes.

Quotations

Every project is different. After reviewing your text (or a representative sample), I will provide a personalized proposal outlining:

Quotations are based on the material provided at the time the project is assessed. If the scope of the project changes significantly after the quotation has been accepted, a revised proposal may be necessary.

Quotations remain valid for 15 days.

Booking and Deposits

A booking deposit is required before work begins. Your booking is confirmed once the deposit has been received. The deposit reserves dedicated time in my editing schedule and is therefore nonrefundable if the project is cancelled after the booking has been confirmed.

The deposit will be deducted from the final invoice.

Payment

The remaining balance is due upon receipt of the final invoice. Payment may be made by bank transfer in US dollars (USD), through Wise, or via PayPal. Any fees charged by banks or payment providers, including currency conversion fees, are the responsibility of the client.

One Revision Included

Every project includes one follow-up revision, giving you the opportunity to ask questions about my edits, discuss editorial comments, and request corrections where I have misunderstood your intended meaning or overlooked an issue during the original editing process.

Please send your follow-up feedback within 14 calendar days of receiving your edited files. To ensure that I can address your feedback efficiently, please consolidate your questions and requests into one response.

The included revision covers clarification of my edits and corrections or adjustments directly related to the original scope of work. It does not cover:

Any work falling outside the scope of the included revision will be quoted separately and undertaken only with your approval.

Turnaround Times

Estimated turnaround times are provided before work begins. While every effort is made to meet agreed deadlines, delivery dates depend on the timely receipt of project materials, client responses where required, and any agreed changes to the project scope.

Confidentiality

Every project is treated as strictly confidential.

Your manuscript, personal information, and project details will never be shared with third parties without your explicit permission, unless disclosure is required by law.

If required, I am happy to sign a non-disclosure agreement (NDA) before work begins.

With your permission, selected excerpts or before-and-after examples from your edited work may be used anonymously for portfolio or promotional purposes. Any proposed use of your work will be discussed with you beforehand, and no identifying information will be shared without your consent.

Copyright

Copyright always remains with you.

Editing does not transfer ownership of your work. By submitting your document, you confirm that you have the right to authorize editing of the material.

Editorial Responsibility

I will always edit your work carefully and professionally, but the final decision on whether to accept or reject individual edits remains yours. You remain responsible for reviewing and approving all suggested changes before publishing or submitting your work.

Client Responsibilities

The client is responsible for providing the final version of the document to be edited before work begins and for informing me of any specific style guide, publisher requirements, or other instructions in advance.

AI-Assisted or AI-Generated Content

If a project includes text that has been substantially generated, rewritten, or otherwise developed using artificial intelligence (AI) tools, the client agrees to inform Edit Island before work begins. This allows the scope, level of editing required, and project fee to be assessed appropriately.

Edit Island does not use generative AI tools to proofread or copyedit client work. Client documents are reviewed personally using human editorial judgment, with dictionaries, style guides, reference works, and other relevant sources consulted where appropriate.

The client remains responsible for ensuring that any AI-generated or AI-assisted material submitted for editing may lawfully be used and published, and for complying with any disclosure, authorship, copyright, publisher, journal, academic, or platform requirements that apply to its use.

Editing does not verify or guarantee the provenance, originality, authorship, copyright status, or compliance of AI-generated material unless such a service has been expressly agreed in writing as part of the project scope.

Where the use of AI materially affects the scope or complexity of the editing required, Edit Island reserves the right to revise the quotation before additional work is undertaken.

Limitation of Liability

Proofreading and copyediting improve the consistency, and accuracy of a text, but no editor can guarantee that every error will be identified or that a document will be entirely free from mistakes.

Edit Island cannot accept responsibility for decisions made by publishers, journals, examination boards, or other third parties regarding edited material.
